Making clients feel great while helping them look great is what keeps them coming back. It’s also what turns satisfied clients into your best marketing channel: word-of-mouth referrals.
Even so, you need multiple channels to reach clients at different points in their journey and keep them coming back. Word of mouth is powerful, but it can’t remind your client it’s time to rebook.
But what if no one on your staff feels comfortable with email marketing? You know that social media isn’t the only option, but it’s the easiest lift to get exposure. However, email and social have different purposes. Social media is great for brand awareness efforts, while email can be especially effective for client retention. If you’re not using email campaigns in your med spa, the best place to start is with automated campaigns to keep in touch with clients between visits, driving rebooking and revenue.
You don’t need a dedicated marketing team to make it happen. I’ve used Boulevard’s built-in campaigns as a spa manager and can show you how to maximize their marketing features to set up ongoing outreach and use reporting to track your ROI.
Why Email Marketing Matters

Automated email campaigns for med spas are one of the easiest ways to reach your clients between appointments. They build lasting relationships and are a natural way to ask for reviews, to send birthday wishes, and more. They’re low-lift, since they don’t require additional staff to manually manage campaigns.
Maybe your staff isn’t convinced it’s worth the effort to try in-house marketing, or you prefer social media because you’re used to using it. Consider these PROS to using email outreach and share them with your team:
- Automated email campaigns are triggered by client actions like completing an appointment, or on a treatment milestone, or birthday. Once you set the parameters, the system handles it per client for you. All in one dashboard.
- Email gives you a more direct way to reach clients than relying on social media algorithms. And we all know the algorithm isn’t always showing your posts to the right people at the right time. You’ve got their attention in their inbox; use it!
- Everyone needs a reminder. We know most clients won’t remember to book their next treatment without it. Asking them to rebook before they leave is ideal, but if you’ve got those busy clients who never know their schedules, this is the nudge they need.
- Existing clients are often your highest-value audience because they’re already familiar with your services. You don’t need to convince them, just show them what’s new.
5 Types of Automated Campaigns For Your Med Spa

Now that you understand how important email outreach is, how it differs from social outreach, and what automated email is, let’s discuss Boulevard’s options. And remember, you don’t need a dedicated marketing team since once these are set up, they’ll automatically email clients.
These are the five pre-built campaigns and how they can help your med spa retain clients and boost your revenue:
- Fill Slow Days: Looks ahead over the next seven days to find available openings in each provider’s schedule. The setting triggers if a provider is less than 50% booked, for example. You can set this threshold as you set up the campaign. It’s very flexible. Once it’s set up, emails are sent to clients who have seen that provider and will nudge them to book. You can customize the message as well.
- Last-Minute Opening: Looks ahead over the next two days. It’s similar to the Fill Slow Days option, but with a shorter look-ahead window. There is urgency with this one, with a fun call to action that can encourage clients to jump on the books for a last-minute self-care visit.
- Reminder to Book: This one sends a reminder anywhere from 0 – 100 days after a client’s last service, asking them to set up their next appointment. Simple but effective.
- Rescue Lost Clients: Similar to Reminder to Book, but this one picks up after the 100-day window and extends out to 15 weeks since last visit. Sharing any new offerings that the client may not be aware of can be a good hook to get them back in.
- Birthday Message: Sends a birthday wish to your clients and reminds them to book near their birthday. You can set these to deliver on the day of their birthday, or as early as one month before.
Once activated, these campaigns can run automatically. You will be charged $2 per completed appointment if a client books within 7 days of the email delivery. In other words, there’s no cost to launch them or reach out, and you pay the $2 fee only when the campaign results in a completed appointment within seven days of the email.
How Boulevard Makes Automated Email Marketing Easier

Boulevard is a booking platform and point-of-sale system that offers both customizable and automated marketing campaigns, plus reports to track the success of these campaigns. The ability to tag, segment, and sort your clients into all types of audiences allows you to send reminders to clients so you’re not losing revenue, send a birthday wish, or win back that client you haven’t seen in a while. Boulevard is already cataloging information about your clients as they book and visit, which you can use to keep your med spa team busy.
Existing Client Information at Your Fingertips

You’ve already captured client emails when they sign up for an account or when you’re creating their profile on site. During profile creation, clients will typically opt in or out of marketing emails, so you’ve already built a solid marketing base.
But their email information is just the starting point of a great marketing list. Many details in client profiles can be used to build segments (special lists of clients you want to target), including birthdays, tags, providers, time since last appointment, everything!
Even better, you don’t need to wrangle separate spreadsheets; Boulevard’s dashboard is all you need. Since Boulevard’s marketing tools use the client and appointment information already in the platform, there is no need to export client lists from your booking software into a separate email marketing tool and manually keep those audiences current. Plus, having to learn and master a separate platform is time-consuming. Boulevard’s client tags are used to build audiences for your campaigns; they’re already familiar to the team.
Pricing
With Boulevard’s integrated marketing campaigns, you only pay for results. In other words, Boulevard will send an automated email to a client to remind them to rebook. That email is sent free of charge. And if they book? It’s just $2 per completed appointment.
You also get anywhere from 1,000 to 10,000 free email blasts, depending on your plan. After that, it’s just $0.01 per email sent. That can also eliminate the need for a separate email marketing tool or CRM for these campaigns. Everything you need is here in your dashboard.
You can try their helpful ROI calculator on the site before committing.

Keeping Automated Messaging HIPAA-Aware
If your med spa handles protected health information, avoid including unnecessary treatment or health details in marketing emails. Keep promotional messages general and follow your practice’s approved HIPAA-compliant workflows whenever an email could involve protected health information.
How to Set Up an Automated Email Campaign in Boulevard
Navigate from your Dashboard > Marketing > Automated Campaigns > Enable

On the next screen, you’ll start to build your automated campaign.

Note the fee here; that’s very transparent, and I really like that the reminder is there.
- Set the Trigger based on when you’d like to start filling the books.
Is it when your staff is less than 50% booked, 30% booked? Test it out and see what works best for your location(s). Work through the drop-downs, setting how you’d like to reach the client (for our purposes we’ll use email) and if you’d like to target just one location or more (if applicable).
- Next, Edit content from the middle of the screen.
Customize your message using your brand voice and style. Keep it simple and direct.
- Turn on the Active toggle if you’re ready to start sending.
Campaigns will start to send within the next 24 hours. If you’re not ready, you can leave it off or inactive. This is useful if you’d like someone else to take a look or you want to start sending later but need to build the campaign now.
- Click Save at the top right of the screen.
Reporting for Automated Campaigns
Boulevard keeps the reporting right in the campaign dashboard; no need to pull complex reports. In this example, the Last Minute Opening campaign reached 56 recipients and generated six appointments and $840 in sales. The campaign-attributed fees were $12.
The top of the dashboard will show all campaign metrics for the dates that you set (Aug 1-Aug 8 in this example). You’re able to view individual campaign success metrics or totals for the week, month, quarter, or year.
Final Thoughts
If email marketing has felt like one more thing your med spa doesn’t have time to manage, automated campaigns are an easy place to start. Boulevard uses the client information you’re already collecting to keep outreach running without adding another platform, spreadsheet, or complicated reporting process. Start with a few campaigns, monitor what’s driving bookings, and build from there.
You’re already great at client relationships inside the spa; email automation helps you continue that same relationship after the client walks out the door.
