I’ve been around the block a few times with salon platforms once I peeled myself away from a paper calendar a decade ago. I looked at ClinicSense as a real option for digital forms. But I really needed flexibility on the go, good value, and secure digital SOAP charting. When I stopped offering insurance billing, some clients needed a detailed self-pay invoice that was ready for insurance reimbursement.
While ClinicSense can be a strong fit for clinical practices like med spas and therapy practitioners that need insurance billing, buyers looking for secure digital charting, good value and more mobile flexibility might want to look elsewhere. Scrolling through massage therapy forums I found some real friction points that practitioners point to around ClinicSense. This doesn’t make ClinicSense a bad platform. It just means it may fit starter practices better than established ones, and eventually some of us just need to see what else is out there whether solo or growing.

MassageBook

In my time using MassageBook, I loved it. It was perfect for my tiny team of two and got me away from my paper calendar book. However, I outgrew it within a year then had the somewhat clunky transfer over to another software. But this choice shines with its simplicity and low cost. It has easy-to-learn tools such as mobile booking and SOAP notes, and built-in messaging features too. Pricing is reasonable, with the Transition plan starting at $15/month and the Clinic plan at $99/month.Pros include a 30-day free trial with no long-term contract, live support, and a practitioner mobile app for checking your schedule or writing a quick SOAP note on the go. Cons include no dedicated client app, some users reporting a dated calendar experience, and limitations if you need to scale beyond a small staff or add insurance billing.
In my opinion, MassageBook is best if you run a simple, small practice on the go like a mobile massage business or renting a room, since you’ll want a budget-friendly option with basic mobile tools that doesn’t need insurance billing.

If you were with ClinicSense because you just had to have clinic software and insurance billing capability, this app is worth considering if you want a stronger clinical and insurance-focused workflow.
Jane App prides itself on its custom forms, deep clinical charting and HIPAA-compliant insurance billing features, since it’s explicitly engineered as an insurance-ready Electronic Medical Record (EMR) system. The patient app and two-way texting also make it easier to stay connected outside of telehealth. Pricing for Jane App ranges from $54/month for the Balance plan to $99/month for Thrive. No contract is required.

GlossGenius does have a SOAP note feature and a med spa plan. It does not support insurance claims submissions. Touted as wellness and multi-location focused, you can expect to pay $24/month with the Standard plan all the way up to $148/month for Platinum. For med spas, plans range from $148-$248 monthly. No contract is required.

For a solopreneur or team looking to add more layers of services and customization, Vagaro delivers a great basic platform with many a la carte options to add on. It has a staff and customer app ideal for mobile users, but note the extra setup and ongoing cost of their custom-branded app.
At my spa, we’re currently using Vagaro and we find the branded app upgrade and digital SOAP notes essential. It does not offer insurance billing, however. As you add team members, services, or classes, it will grow with you, but you’ll also pay for each added feature.
Introductory pricing starts at $23.99/month for the first six months, followed by the standard rate. Once you add your chosen features you’ll find it an affordable choice that gives you a lot in terms of management and marketing on the go.

If so, Mangomint will give you more of an all-in-one without insurance billing. No contract is required, and rates start at $120/month per location + $10/month per user, with optional add-ons for extras like marketing, phone, and payroll.

Final Thoughts

So where does that leave you? ClinicSense still does the job for a starter practice with a small price tag, but experience changes what you actually need when it comes to a growing practice. For a clean, basic clinical approach with decent SOAP documentation and strong insurance billing capabilities, Jane App is the clear choice. Taking a smaller leap, MassageBook or GlossGenius keep things simple without breaking the bank.
But if you’re anything like I was when I hired my first staff person, you’re ready to move beyond basic practice management with a more advanced booking system, a modernized client experience, and more options for a growing, multi-faceted practice. Vagaro fits that small-to-medium growth leap well if customization is your priority. If you’re eyeing a bigger jump into esthetics or a fuller spa setup with multiple staff and locations, Mangomint or Boulevard give you more room to grow into that next stage.
