If you’re running a small business spa, the software you need most will typically provide several services in one location with options for third-party integration or custom features.
In my opinion, the most important features include forms, especially for medical spas, along with online booking, payment processing, and client management.
So I looked into the best small business spa software that offers comprehensive client management, custom features, and the widest array of integrations, and here’s what I found.
My Top 6 Picks At a Glance
My top picks are:
- Boulevard – Best overall interface and marketing tools
- Vagaro – Most affordable starter option with à la carte pricing
- GlossGenius – Simplest setup for solo pros and small teams
- Mangomint – Best automations and smart booking features
- Fresha – Widest international reach and language support
- AestheticsPro – Top choice for HIPAA compliance and med spas
Let’s take a closer look at how they compare.
Boulevard
Boulevard is one of the best options I have found so far, with a well-established and sophisticated array of features, particularly marketing automation and support for third-party integrations.
If your spa is looking for a well-designed platform with a contemporary interface, an innovative front desk feature that lets you check client status at any moment, and enhanced marketing capabilities, this is it.
Boulevard does not offer a free trial, but you can book a free live demo. From there, you can pick one of four plans:
Note: At the time of writing, Boulevard is also running promotional pricing for new customers, so some businesses may qualify for lower rates, especially with annual billing.
- Essentials: This is the entry-level plan at $195 per month
- Premier: This is the middle-ground and most popular plan at $325 per month
- Prestige: This is the upper-tier plan at $455 per month
- Enterprise: For chains and franchises, pricing is custom due to their custom needs
With some of the lower tiers, you still might face a la carte costs. Spas that need forms and charts might add $55 per month per location for an Essentials plan.
Boulevard was built for real stylists, salon, and spa owners. It handles booking, checkout, and smart scheduling the way busy salons actually work. It even handles marketing, from rebooking reminders to targeted emails and texts, plus it fills open spots with waitlist requests, without the scrambling.
Boulevard has, by far, the best interface of any software on this list.
It was designed by people within the industry who tackled modern pain points for spa professionals. The platform has robust client management features, where you can keep track of client data, a feature that can be accessed anywhere you see a client’s name with a single click.
Boulevard also offers a front desk feature where you have a quick bird’s-eye view of which clients have checked in, which clients have completed their appointments for the day, and what the calendar looks like for your entire spa.
- Best for: Scaling small and medium-sized spas that want an all-inclusive software solution for a fixed cost.
- Trial: You can call to schedule a live demo, but there are no free trials
- Cost: Between $195 and $425 per month, with a la carte options
- Supported Countries: U.S.

Vagaro
As a spa, you will likely have multiple employees working for you, whether as independent estheticians or massage therapists, or as full-time employees.
Vagaro is a super affordable option for solo operations or spas with five or fewer employees, but you might run into some snags as you start to scale.

However, your system is set up, Vagaro charges a minimum $30 for individuals. That includes one bookable calendar, and each additional user costs $10 per month, up to seven licenses. Once you reach seven users, you top out the total monthly cost, but as soon as you have to expand to multiple locations, you require an Enterprise membership with a personalized cost.
Another thing to worry about is the hidden cost of premium features. These are technically optional add-ons, but a lot of dissatisfied Vagaro users refer to them as hidden costs because the platform isn’t very upfront about when and where they might apply.
For example:
- If you need to create HIPAA-compliant forms for your spa, that comes at another $10 per month.
- If you want to add visibility with the Vagaro client marketplace, it comes at another $10 per month.
- If you need to manage payroll, it’s $34 per month plus an additional $5 per employee.
- If you want to utilize email marketing, you get 1,000 emails per month included in the plan, but after that you have to pay $10 per month for another 5,000 emails or $90 per month for up to 100,000 emails.
- If you want to be able to text your clients, it is $20 per month for 500 texts
So, you can see how these “hidden costs” can really eat into your bottom line. That is not to say that these plans wouldn’t work for you as a small spa; it’s just very important that you know exactly which of those à la carte features you want and how much it will cost.
For example:
A small spa with only two employees might pay $40 per month, since the first calendar is included and the second costs and extra $10. Add HIPAA-compliant forms for $10 and text communication for $20.
At that point, Vagaro can still be affordable, but the gap between it and other spa software options starts to grow.

- Best for: Independent booth renters or small salons with fewer than 5 employees who want the cheaper monthly cost and a la carte options.
- Trial: 30-day free trial
- Cost: Varies from $30 per month plus $10 per additional team member, and add-on fees
- Supported Countries: U.S., Canada, UK, and Australia
GlossGenius
GlossGenius was originally built to to support independent stylists who wanted an easier way to handle things like payment processing and booking management in addition to website creation. Today, it still caters to small businesses that want a simple, modern system that is easy to use.
GlossGenius offers pretty straightforward pricing, and if you aren’t sure whether the limited integration and features works for you, they have a 14-day trial.

So, once upon a time, GlossGenius was a slightly more expensive competitor to Vagaro in terms of pricing and features. However, now they have three core areas where they focus:
- Client experience, which includes online booking, notifications, and intake forms
- Business operations, which extends to team management and payments
- Growth tools, which includes business analytics and some marketing automations
GlossGenius is a bit light when it comes to features, so smaller spas might find it difficult to maintain all of the services they need. The platform falls short when it comes to online booking because they don’t have any website booking Widgets or service customizations. They don’t have dedicated POS hardware, a self-checkout option, or two-way SMS communication.
However, small spas or independent estheticians can still make use of GlossGenius, especially if they don’t want a lot of complexity with the interface or the Integrations and want to focus instead on building a website, being able to send out email marketing campaigns, and getting support as a booth renter.

- Best for: Small teams at a single spa location looking to build a more automated intake process for bookings.
- Trial: 14-day trial
- Cost: $48 per month
- Supported Countries: U.S.
Mangomint
Mangomint is a well-rated option and one of the top choices, in my opinion. It is one of the best small business spa software solutions because it has a lot of unique features like the intelligent wait list, self-checkout, and customizations, where clients can add recommended services to their appointment when they are completing their initial booking.

This is a really good way to help build out your client base and your appointments. But they offer more than that, with options for SOAP notes, form creation, and integrations.
If you have a team or multiple locations, Mangomint is appealing because it does not require a contract. I’ll say they are really good about facilitating easy sign-up processes and cancellation processes. Plus, after you book a free trial, you don’t get nearly as many harassing sales emails and phone calls as with Vagaro. Love them for that.
However, Mangomint is not really built for solo professionals. Like at all. You can’t even sign up for the free trial if you work by yourself. When you try to sign up, it has fine print at the bottom saying that they don’t recommend their platform for you.

- Best for: Medium-sized teams with single locations that want automations.
- Trial: 21-day trial
- Cost: Average $240 per month
- Supported Countries: U.S. and Canada, and several other international countries, but support only offered in English
Fresha
Fresha is a global online booking system for salons and spas that is easy to use and competitivly priced. Some of its most popular features include smarter booking tools like group bookings and waitlist management, along with POS tools, scheduling, and payments.

There are two main price plans, starting with the basic, free membership and then the team membership that scales based on your size. However, you can expect a la carte costs, particularly from the marketplace.
Fresha, like Vagaro, has a client-facing marketplace where you can enhance your visibility and help grow your client base and bookings. The drawback is that any new client that is booked through that platform charges a one-time 20% fee, with a minimum of $6 and a payment processing fee.
That means you can use the platform to increase bookings for your new massage therapist or for spring facials, but if you are not pricing those services with that fee in mind, your margins on those first appointments can shrink quickly.
Fresha really stepped up their game in 2024, releasing the automated wait list function and group bookings, so now you have a better way to build out more attractive booking functions for your spa.
Its client profile system also makes it easy to track things like allergies and maintain copies of any HIPAA-compliant forms they may have filled out. It’s simple and effective, but it doesn’t have all the features and integrations you might get elsewhere.

- Best for: International spas or any business that wants additional language support
- Trial: 7-day free trial for businesses
- Cost: Independent stylists pay $20 per month, teams pay 15 per month per team member, and enterprise solutions for businesses with more than 20 teams come at custom rates
- Supported Countries: Over 120 countries
Aesthetics Pro
Aesthetics Pro was designed for medical spas. If you have strict requirements for patient data collection and storage, this is the platform to use. It is absolutely one of the best recommendations for anyone who needs to maintain HIPAA compliance, and it offers a unique system of electronic record management and options for electronically prescribing medication.

In addition to the simplistic software design, you’ll find client management features that include access to records, photos, invoices, notes, and charts in a single place, as well as advanced medical photo solutions and telemedicine support.
Ideally, this is suited for med spas, not really anyone else, as a lot of the personalized features they have, such as the Advanced Medical photo solution, uses alignment guides to provide precise treatment plans with before and after treatment comparisons for more advanced services than a traditional massage or facial.

- Best for: Medical spas that need e-prescribing and HIPAA-compliant options
- Trial: You have to speak with a sales representative about your needs, and then you can schedule a free demo where they demonstrate how the software works for you.
- Cost: $130-$200 per month
- Supported Countries: U.S., Canada, Australia, South Africa, and the UK
