In my opinion, the best features include forms (particularly for medical spas), online bookings, payment processing, and client management.
So I looked into the best small business spa software that offered comprehensive client management services with custom features and the widest array of integrations, and here’s what I found.

Boulevard
Boulevard is one of the best options I have found so far, with a well-established and sophisticated array of features, particularly marketing automation and support for third-party integrations.
If your spa is looking for a well-designed platform that has a contemporary interface, innovative front desk feature where client status can be checked on at any moment, and enhanced marketing capabilities, this is it.
Now, with no free trial, you have to call Boulevard to schedule your live demo, and from there, you can pick one of four plans:
- Essentials: This is the entry-level plan at $195 per month
- Premier: This is the middle-ground and most popular plan at $325 per month
- Prestige: This is the upper-tier plan at $455 per month
- Enterprise: For chains and franchises, pricing is custom due to their custom needs
With some of the lower tiers, you might face a la carte costs. Spas that need forms and charts might add $55 per month per location for an Essentials plan.
Boulevard has by far the best interface of any software on this list. It was designed by people within the industry who tackled modern pain points for spa professionals. The interface has robust client management features, where you can keep track of client data, a feature that can be accessed anywhere you see a client’s name with a single click.
Boulevard also offers a front desk feature where you have a quick bird’s-eye view of which clients have checked in, which clients have completed their appointments for the day, and what the calendar looks like for your entire spa.

Vagaro
As a spa, you will likely have multiple employees working for you, whether as independent estheticians or massage therapists, or as full-time employees. Vagaro is a super affordable option for solo operations or spas with five or fewer employees, but you’ll run into some snags as you start to scale.
However, your system is set up, Vagaro charges a minimum $30 for individuals, and from there another $10 for every additional user. Once you reach seven users, you top out the total monthly cost, but as soon as you have to expand to multiple locations, you require an Enterprise membership with a personalized cost.
Another thing to worry about is the hidden fees. These are technically add-ons, things that you can tack onto your monthly membership, but a lot of dissatisfied Vagaro users refer to them as hidden costs because the platform isn’t very upfront about when and where they might apply.
For example:
- If you need to create HIPAA-compliant forms for your spa, that comes at another $10 per month.
- If you want to add visibility with the Vagaro client marketplace, it comes at another $10 per month.
- If you need to manage payroll, it’s $34 per month plus an additional $5 per employee.
- If you want to utilize email marketing, you get 1,000 emails per month included in the plan, but after that you have to pay $10 per month for another 5,000 emails or $90 per month for up to 100,000 emails.
- If you want to be able to text your clients, it is $20 per month for 500 texts
So, you can see how these “hidden costs” can really eat at your bottom line. That is not to say that these plans wouldn’t work for you as a small spa; it’s just very important that you know exactly which of those à la carte features you want and how much it will cost.
For example:
A small spa with only two employees might pay $40 per month, $10 for a HIPAA-compliant forms and $20 for text communication. This brings the total amount to $70 per month. There might be additional services needed through other platforms.
As soon as that spa needs to add email marketing for another $10, and payroll for both employees at another $40, that monthly total is $120. At that point, it’s worth comparing other services.

GlossGenius
GlossGenius offers pretty straightforward pricing, and if you aren’t sure whether the limited integration and features works for you, they have a 14-day trial. Their platform was originally designed to support independent stylists who wanted things like payment processing and booking management in addition to website creation.
So, once upon a time they were a slightly more expensive competitor to Vagaro in terms of pricing and features. However, now they have three core areas where they focus:
- Client experience, which includes online booking, notifications, and intake forms
- Business operations, which extends to team management and payments
- Growth tools, which includes business analytics and some marketing automations
GlossGenius is a bit light when it comes to features, so smaller spas might find it difficult to maintain all of the services they need. The platform falls short when it comes to online booking because they don’t have any website booking Widgets or service customizations. They don’t have dedicated POS hardware, a self-checkout option, or two-way SMS communication.
However, small spas or independent estheticians can still make use of GlossGenius, especially if they don’t want a lot of complexity with the interface or the Integrations and want to focus instead on building a website, being able to send out email marketing campaigns, and getting support as a booth renter.

Mangomint
Mangomint is a well-rated option and one of the top choices, in my opinion. It is one of the best small business spa software solutions because it has a lot of unique features like the intelligent wait list, self-checkout, and customizations, where clients can add recommended services to their appointment when they are completing their initial booking.
This is a really good way to help build out your client base and your appointments. But they offer more than that, with options for SOAP notes, form creation, and integrations.
If you have a team or multiple locations, you don’t have to sign a contract to use Mangomint. I’ll say they are really good about facilitating easy sign-up processes and cancellation processes. Plus, after you book a free trial, you don’t get nearly as many harassing sales emails and phone calls as with Vagaro. Love them for that.
However, they don’t allow independent professionals. Like at all. You can’t even sign up for the free trial if you work by yourself. When you try to sign up, it has fine print at the bottom saying that they don’t recommend their platform for you.

Fresha
Fresha is a worldwide online booking system for salons that is easy to use with competitive pricing. Some of their most popular features are the smart features that include group bookings and waitlist management.
There are two main price plans, starting with the basic, free membership and then the team membership that scales based on your size. However, you can expect a la carte costs, particularly from the marketplace.
Fresha, like Vagaro, has a client-facing marketplace where you can enhance your visibility and help grow your client base and bookings. The drawback is that any new client that is booked through that platform costs a 20% commission, with a minimum of $6 and a payment processing fee.
So, you might use that platform to increase bookings for your new massage therapist or for spring facials, but without adjusting the price of those services, you will lose at least 20% and the processing fee for every appointment that is booked. After a client is a repeat client, you don’t face that same 20% commission, but that’s a bit of a gamble.
Fresha really stepped up their game in 2024, releasing the automated wait list function and group bookings, so now you have a better way to build out more attractive booking functions for your spa.
Their client profile system also makes it easy to track things like allergies and maintain copies of any HIPAA-compliant forms they may have filled out. It’s simple and effective, but it doesn’t have all the features and integrations you might get elsewhere.

Aesthetics Pro was designed for medical spas. If you have strict requirements for patient data collection and storage, this is the platform to use. It is absolutely one of the best recommendations for anyone who needs to maintain HIPAA compliance, and it offers a unique system of electronic record management and options for electronically prescribing medication.
In addition to the simplistic software design, you’ll find client management features that include access to records, photos, invoices, notes, and charts in a single place, as well as advanced medical photo solutions and telemedicine support.
Ideally, this is suited for Med spas, not really anyone else, as a lot of the personalized features they have, such as the Advanced Medical photo solution, uses alignment guides to provide precise treatment plans with before and after treatment comparisons for more advanced services than a traditional massage or facial.
